General

PCC

There is no new version of the PCC for Profit 4. So the PCC of Profit 1 also applies to Profit 4. Older versions of the PCC can no longer be used.

You download the PCC through InSite or Profit, or through the AFAS Customer Portal. If you are allowed to do your own installations/changes on your PC, you can update the PCC yourself.

HR/Payroll

Preferred purchase contact in Employee import

In the Employee import for new employees and in the import for employee entries, the Preferred purchase contact field has been added.

This field is active if you have enabled the Purchase expense claims and self-billing (Flex) activation.

Check your import and change it if required.

Authorisation Applicant and Application

The authorisation on the show page of an application has been changed. From Profit 4 onwards, it is necessary to apply the authorisation filter Applications to the existing Application page.

1. Applications authorised

  • Displays file items of type 'Application (Profit) (-44)’.
  • Data filter 'Applications' has been applied.

2. Applications not linked

  • Displays file items of type 'Application (Profit) (-44)’ that are not yet linked to an applicant.
  • Data filter 'File items' has been applied.

 

3. Applicant file (authorised)

  • Displays file items submitted to the destination 'Applicant' and 'Applicant - application'.
  • Data filter 'Applicants' has been applied.

 

4. Application file (authorised)

  • Displays file items submitted to the destination 'Applicant - application'.
  • Data filter 'Applicants' has been applied.

UpdateConnector KnEmployee

Due to the change in how periodic increases work in Profit 3, the 'AfasPeriodic' object has been added to KnEmployee. This object replaces the periodic fields in 'AfasContract' per Profit 4. Adjust the UpdateConnector KnEmployee when you migrate to Profit 4.

Determining leave days

Since Profit 3, the calculation of the number of days is based on the employee's timetable hours instead of the standard working week from the CLA. This adjustment was partially reversed in Profit 4: only for employees with additional timetable hours, the number of leave days is calculated based on the timetable:

  • Without additional timetable hours
    Number of leave days = leave hours / (hours standard working week / days standard working week)
  • With additional timetable hours
    Number of leave days = leave hours / ((hours per weekly timetable + leave accrual per weekly timetable) / days per weekly timetable).

Ordermanagement

Re-request purchase request

When re-requesting a purchase request, the data in Profit 3 were copied one-on-one from the existing purchase request. From Profit 4 onwards, the following data are redetermined:  Purchase contact, Debtor no. (supplier), Price/discount/exchange rate, Item code (for replacement article), Unit and No. of decimals.

We also added a setting that allows you to disable the Re-request action button. You can find this setting via Order management / Management / Settings, Purchase request tab, with the new check box Re-request purchase request. By default, we have it ticked, so customers who already use this do not have to tick it to continue using it. If you don't want this action button, you can disable it with the new setting.

 

UpdateConnector FbConfrontation (Financial and Order management)

The Journal entry number and Journal entry sequence number fields are mandatory if you activate the Reconcile on journal entry lines functionality.

Note:

In that case, you must adjust the Reconciliation UpdateConnector (FbConfrontation) for these mandatory fields. This adjustment only applies if you enable the new activation. We advise all linking partners to always include these fields.

 

Projects/Construction

Duration in specific hours

For specific hours in InSite, you can no longer adjust the Duration field. For general hours, this is still possible.

Contract sum (construction)

The Hour standard field in a cost estimate line may only be changed if there is a work type line.

UpdateConnector KnQuotation Cost estimate (Construction)

In the UpdateConnector for cost estimates (KnQuotation), the Quantity field may no longer be filled if the Construction activation is enabled and the item type is Work Type.

Check and change this where necessary.

 

Contract sum (Construction)

We recommend you change your project profiles:

  • Make the new field Total agreed contract sum visible.
  • And make the field Contract sum (on the Construction tab) invisible.

Furthermore, in the Project, Project entry and Bill of quantities imports, the Contract sum fields have been added. Check and change your imports if required.

 

Flex

Check outstanding balances of reservations holiday hours

From Profit 4, the reservations Holiday hours in cash and Non-statutory holiday hours in cash are automatically converted if the employee has both a contract with active placement without temporary employment clause and a balance on these types of reservations. So, if your balance of your old placements is not in order, you may have to deal with conversions.

Points of attention include:

  • The conversion takes place automatically if the employee has a current contract without temporary employment clause with an outstanding balance on the types of reservation Holiday hours in cash and Non-statutory holiday hours in cash.
  • Negative balances are also converted
  • Outstanding balance on an contract with a temporary employment clause with an end date before 2024 will not be automatically converted. We assume you have already taken action yourself and feel you should manually assess this situation.
  • Check outstanding balances by employee or overall yourself!

Preferred purchase contact in Employee import

 

In the Employee import for new employees and in that for employee entries, the Preferred purchase contact field has been added.

This field is active if you have enabled the Purchase expense claims and self-billing (Flex) activation.

Check your import and change it if required.

InSite

Styling of default buttons simplified

You determine the styling of default buttons (such as Adjust, Cancel, Next and Previous) yourself in the InSite and OutSite themes. We have simplified the settings for styling this component! As of now, the buttons have a standard look and feel, but you can adjust the colour. For this, we added the new Primary corporate identity colour setting in the theme, under the Corporate identity button.

You don't need to set this colour yourself when migrating to Profit 4. We automatically determine the colour of your corporate identity and set it up for you. There is one exception: a certain contrast is necessary for the readability of the button text. If the contrast is too low, we set the colour to blue. The Site Administrator in your organisation can, of course, change this:

  • Go to InSite and go to Site management.
  • Edit the theme you want to change.
  • Click the Corporate identity button and select the desired colour.
  • Publish the theme.

 

This change removes the following settings:

  • When editing the theme, the Buttons / Default button component is removed.
  • When editing a page, you can choose Layout to maintain settings for each page component. On the General tab, the Use button style of theme field no longer applies, with its corresponding selection field.
