Important changes in existing functionality

General

PCC

There is a new version of the PCC for Profit 19. The Profit 19 PCC also works in Profit 18. So you can already download and install the PCC of Profit 19 if you have not yet switched to Profit 19.

If you want to use the Record button in Microsoft Word, Excel, Outlook or PowerPoint, you must at least have PCC version 18.xx. This also applies for capturing by using Windows Explorer.

If you do not use the aforementioned functionality for recording files in Profit, you need to at least have PCC 17.xx. Then you do have the other functionality such as editing analyses and documents (by using the DocumentGenerator), exporting to Excel, editing attachments in InSite, etc.

 

View analysis via the AFAS Online servers

If you open an analysis by using InSite, it will now be generated on the servers of AFAS Online and then opened locally. This protects your data even more, because all data processing takes place on our servers and you, the customer, only see the end result. This applies to all analyses that you open by using InSite; for most customers, this is by using the My analyses view. The analysis is generated by using the queue.

When the analysis is open and you have installed and connected the PCC to your environment, you can refresh the analysis. The data from Profit will then be retrieved again. If the PCC is not available, you cannot refresh the analysis.

The analysis will only be opened if it does not give any error messages during generation. If an error message does occur, the analysis is not opened and a message is logged. However, you can edit the analysis to correct the error.

 

Note:
Because the analysis is performed entirely on the servers of AFAS Online, you cannot start local processes by using the publication macro of the analysis. If the analysis is
open on your own PC, you can of course start your own macro.

 

Request or delete environment

The General / Maintenance / Environment / Copy menu has been renamed to General / Maintenance / Environment / Request environment.

The General / Maintenance / Environment / Delete is no longer available.  You can delete an environment now by using General / Maintenance / Environment / Request environment. Use the Delete environment action to delete the environment you have logged into.

 

HR / Payroll

Delegation model

There is a new function, namely, HRM / Organisation / Configuration / Delegation category. If an employee is authorised for HRM / Organisation / Configuration / Delegation, this employee will also be authorised for HRM / Organisation / Configuration / Delegation category after migrating to Profit 19.

You have more options with delegations in Profit 19. There are three points of interest here: 

  • Delegations for claims now include summary claims. It can therefore happen that a delegated person sees summary claims in the task list while this was not the case in Profit 18. In order to process the summary claim, the delegated person will, of course, need rights to the summary claim file items and InSite pages.
  • In relation to a delegation to level 9, a delegated person could only submit file items. Now, however, a delegated person can also assess file items. As a result, it can happen that the delegated person at level 9 sees certain workflows in the task list, while this was not the case in Profit 18. Again, the delegated person must be correctly authorised.
  • If you were a manager, you would see the delegations in your own organisational unit and the delegations for which you were responsible. This has been expanded as follows: you now also see delegations of organisational units that fall under your organisational unit.

 

Applicant's rights upon employment

When registering an applicant starting employment by using InSite, Employee InSite rights are no longer automatically granted.

 

CRM

Entering the enterprise number based on the VAT number

For Belgian organisations where the enterprise number has not been entered while the VAT number has been entered, the enterprise number will still be determined and entered during the conversion to Profit 19.

 

 

Order management

Journalising warehouse movements

If you have different VVPs per warehouse and you did a warehouse movement, the 'Delivered items' suspense account kept a balance after journalising.

This balance is now entered separately on the general ledger account that you set in the Result RC stock transfer field in the Stock integration type.

  • For this purpose, the field name has been changed from 'RC stock transfer' to Result RC stock transfer.
  • Check and set this field. If you do not set anything, you will get an error message when you journalise.

Obligatory field in Office-Depot OCI link

In the Office-Depot definition, debtor supplier number (Debtor (supplier) no.) is now required. This can be found in the header of the cXML so it is always used. Check and enter this field in Profit.

 

Output for term and subscription invoices

When generating instalment invoices and subscription invoices, the Output wizard is no longer shown if you have switched on Start output wizard after completion. Profit now always follows the default settings; see below.

If you do not want this, do not turn on the Output wizard field while running the invoice wizard, but start the Output wizard after generating the invoices. To do this, filter in the view with all invoices (e.g. by using Financial / Invoicing / Invoicing cockpit or the one in the modules themselves) on the instalment and subscription invoices just generated and click the Output action.

 

 

 

 

Linked purchase order action in Authorisation tool

In the Authorisation tool, the Linked purchase order action to be authorised is now called Allocation to match the action on sales orders.

You can find this action by using the Authorisation tool, Authorisation tab, Order management / Sales process, Actions tab.

 

Finance

New required fields for e-invoices

The Invoice discount, Invoice surcharge and Rounding off difference from the UBL fields have now been added to the properties of the invoice on the General tab so that you can see more information from the e-invoice. Set the general ledger accounts on General / Configuration / Integration settings / Integration type.

 

Partial sale of fixed assets in connector

You can now add and update multiple sales per asset. This also affects the FiFixedAssetsSale UpdateConnector. The following fields have been added and Type of sale (ViSa) is now required. Check and change your own xml/table.

New fields:

  • SeNo (Sequence number): Partial sale sequence number.
  • ViSa:
    V' Complete sale/disposal) 
    - 'D' Partial sale/disposal.
  • ViRa (Disposal reason):
    - '01' = Sell
    - '02' = Defect
    - '03' = Lost
    - '04 = 'Theft
  • NpSe (Number of items sold)
  • DeAm (Reduction of purchase)
  • ReAm (Residual value reduction)
  • CeAm (Residual value reduction)

 

Flex

Phase calculations changed

Profit calculates the Expected phase end date in Phase B and Phase 3 in Profit 19 differently. Profit calculates from this version on 4 years from the start date of the phase instead of 208 calendar weeks. Any leap years are, however, taken into account.

This may result in minor differences compared to Profit 18.

Are there employees to whom Phase B or 3 applies and for whom you have aready created new contracts or placements (for phase C or 4)? Then the Expected phase end date may differ from the Start date of the contracts or placements concerned. We advise you to check this carefully. 

  • If the Expected phase end date is different from the Phase B contract end date, you must still change the contract end date. This ensures that the contract is also terminated on the right date and the subsequent Phase C contract starts on the right date.

    For example:
    At 208 weeks, the Expected end date was 27-07-2025 and now it has become 01-08-2025. If you had already terminated the contract on 27-07-2025, we recommend that you manually change this to 01-08-2025.
  • Also check and change this in placements.

The Expected phase end date will be updated when the current data is updated in Profit 19.

 

Control of the 'Flex employee' field changed

The conditions under which the Flex employee field is automatically switched on or off have been changed. Profit turns the field on automatically when reporting a new hire or adding a placement to an employee without a contract:

  • If it concerns claim wage processing;

  • Or if the employee is in sector 52 (temporary employment);

  • Or If the nature of the employment relationship is 82 (Payrolling.

In addition, the Flex employee field can always be switched on or off manually.

The Flex employee field has been added to the context of the Employee and Employed employee profiles. Therefore, check these profiles and set the Flex employee field in them.

Projects

New date selection for InSite hour entering works differently

In the entry layouts for the calendar and general hours in InSite, there is a new, faster way to select the date in a different month. This working method therefore does change somewhat. You also need to now click for a short period the day/week in the month to see the hours.
