An important update in our new software is the introduction of the applicant master card. Now, completing a vacancy is still one large workflow. We move away from a linear process by using a master card. Processes can now run in parallel quite simply. A candidate can simply enter information from the vacancy on OutSite that will be added to his or her master card in InSite automatically. Various actions can be started super fast via the master card ranging from an invitation for an interview to requests for diplomas or to add an account number.
As an employer, you must check the identity of employees. You need to check the original ID when they are reported as having joined the company. This was a manual process.
As from Profit 11, the ID Check Valicare is available. You can validated with the ID Check you can check the identity of the employee based on the following when reporting him or her as having joined the company:
The ID Check validates the ID documents based on visual aspects that are exported from the images of the documents. This data passes through different algorithms that check whether the data is valid based on, for example, the document number, date of birth, expiry date and person number.
After the validation, you can copy the data across to fields of the employment start profile automatically. This will ensure that incorrect data is not present in Profit.
If an employee had, for example, done several business trips in a week, the employee had to submit individual workflows for these trips. This used to be a time-consuming process.
In Profit 11, it is possible to submit multiple claims in one workflow. If an employee may enter several business trips, the employee enters this in one workflow and the assessor can assess all claims in one go.
In addition, different types of claims can also be submitted in one workflow. For example, a claim for business travel, lunch expenses and a hotel room can be submitted in one go. It also applies within this context that the assessor can assess this claim in one go.
If one of the claims within a summary claim is not approved, the assessor can reject this claim individually. The other approved claims continue in the process and the rejected claim is returned to the person who submitted it as an individual workflow.
An employee paid for the dinner with the department and wants to claim it. Since this is a large amount, the employee would prefer it if it was paid immediately.
As from now, an employee can immediately request an advance with regard to the claim when he or she submits a claim. The salary administration can subsequently pay the advance.
An employee wants to work less, but what does this mean with regard to his or her salary? To see the consequences of this type of request, you must always create a pro forma employee in Profit. As from now, you can immediately view this in InSite.
The employee can use the Trial calculation to obtain insight into the consequences of a request or change. The employee will immediately see what the expected result is with an accuracy of cents with a trial calculation.
You can apply the trial calculation within the creation profiles of the timetable and salary change in InSite.
An important change has been implemented for the import entries for contracts, salaries, jobs and timetables. The change means that the 'Do not change' option has been added as from Profit 11. This means that the import entry has truly become an import entry.
For Profit 11, this was the 'Empty' option that actually worked erroneously as 'Do not change'.
You check all existing import definitions and you determine for each field whether it must or must not be set to 'Do not change'.
Note:
You must also check this for the non-required fields. If you do not do this, these fields will have an empty value after the import!
It is now possible to exchange the payroll payments automatically via a direct link between the bank and AFAS Online. The existing link of the financial payment in Profit is used for this link. The banking link for Payroll payments is only possible for Rabobank and ING.
If you use the existing link in Financial, you will be automatically using the link for payroll payments after switching to Profit 11. This applies if the Send payment field has been selected in the properties of the bank account.
You can also use the banking link if you process payments via processing groups. You must have, however, linked at most one bank account to the processing group.
If immediately after approval has been selected in the employer, Profit will immediately send a payment file via the banking link after approval.
If immediately after approval has not been selected in the employer, Profit will send a payment file after processing the payment in the Payment cockpit.
As from now, the profile choice pages do take authorisation into account. This means that you will only see the profiles for which you have rights.
The consequence of this change is that a unique page will be displayed for each profile. This means that you may have to adjust the formatting for these pages.
Updating current data in HRM has been changed. A default planned task is now available for this in the environment. This task runs every day. We recommend planning the time just after midnight (as was previously the case).
After switching to Profit 11, you will have one planned task automatically for updating current data. If you had configured several tasks for updating current data, these will have been deleted after the switch so that you only have one task.
If you want to update the data during the day, you can add a task yourself. All days are selected by default in this task and you cannot deselect them. We recommend deleting the task after running this task once.
When reporting the start of employment of an employee, you can immediately invitee the employee for AFAS Pocket.
The Invitation for AFAS Pocket field has been made available in the employment start profile under the Employee context. If this field is selected, the employee will automatically receive an invitation to use AFAS Pocket on the first working day. The email that Profit sends is based on the 'AFAS Pocket invitation message (Profit)' message template and is generated after the planned task of updating current data.
After an employee has been reported as having left the company, you needed to manually block the employee and user to prevent that the employee could still sign on after having left on InSite and for the licence count.
As from now, you can automate this procedure. Configure in the 'HRM/Manage/Settings/HRM tab' menu that you want to block employees and the linked users automatically after the update current data planned task.
You will only be blocking the employees and linked users with an end-of-employment date in the past.

Payroll Cloud has been expanded with the option of offering ESS via the Pocket App to customers. After the employee has completed the onboarding process following a simple procedure, the employee can arrange issues immediately himself or herself. Examples include:
The option of signing attachments digitally has been added to the file item types below. This means that you can add the special Sign attachment(s) action in the workflows. in addition, the Attachment field has been added to the related profiles. You will find this field in the context that is located after the file.
